Warranty Claims Administrator:

Working under minimal supervision of the Supervisor, Depot referring only exceptional problems and issues for management review or approval, the Warranty Claims Administrator orders and tracks all parts for the tech group from the various vendors that we deal with. This would include both warranty and non-warranty items to be used to repair/complete customer returns. Also, to ensure that defective parts get returned to the proper vendor for credit. This position is also responsible for keeping track of spare parts on hand.



Responsibilities:
  • Ensures that technicians have ordered the correct part for each system. Fills out the appropriate forms for a warranty claim online.
  • Receives defective parts from the technicians to be returned to vendors for parts credit and warranty labor credit. Ships defective parts to the vendors.
  • Contacts technical support for vendors. For every system sent back to the vendor for repair, there has to be a case number assigned to each machine and authorization for depot repair.
  • Receives warranty parts from vendors. Matches order forms with actual received parts, verifying parts received for accuracy. Coordinates parts with systems awaiting parts.
  • Keeps records of all warranty transactions.
  • Completes online transaction sheets for each warranty claim.
  • Tracks warranty labor credit to ensure accuracy.
  • Performs all other duties or special projects as assigned.
Requirements:
  • High School Diploma or GED.
  • Minimum 2 years' experience.
  • Intermediate Microsoft Excel skills with ability to create complex spreadsheets using formulas, including v-lookup, and pivot tables.
  • Must be able to track and maintain a working inventory.
  • Must have strong organization skills.
